WHATSAPP AUTOMATION FOR REAL ESTATE

Turn property enquiries into booked viewings.

We connect WhatsApp, AI and your CRM so every property enquiry is answered, qualified and passed to the right agent, with follow-ups that happen on time.

Enquiries arrive faster than agents can sort them.

A listing goes live and the messages start: is it still available, what is the price, can I view on Saturday? They arrive on WhatsApp from your website, social pages and property portals, often outside working hours.

Agents answer the same opening questions again and again, serious buyers wait behind casual browsers, and details live in personal chats instead of your CRM. When a follow-up is missed, nobody notices.

The fix is not another inbox. It is a clear path from the first message to a qualified lead, an assigned agent and a booked viewing.

THE WORKFLOW

From first message to viewing.

A typical first message
Hi, I’m looking for a 2 bedroom apartment in Kilimani. Is anything available?

An illustrative workflow, not a claim about a completed client project. Your version is designed around your team, tools and customers.

WHAT HAPPENS NEXT
01

The enquiry arrives on WhatsApp and gets an immediate, useful reply.

02

The assistant asks whether they are buying or renting, their budget, preferred areas and timing.

03

Matching listings are sent from your property list, with photos and key details.

04

The lead is created in your CRM with every answer attached.

05

The right agent is notified and can take over the conversation with full context.

06

A viewing is booked, and the client receives a confirmation and a reminder.

07

If the client goes quiet, a follow-up is sent at the interval you choose.

WHAT WE BUILD

The pieces behind the conversation.

We agree the scope with you first. Most projects start with two or three of these and grow from there.

Enquiry qualification

A short guided conversation that captures purchase or rental, budget, location, bedrooms and timeline before an agent gets involved.

Listing matching

Replies drawn from your current property list, whether it lives in a CRM, a spreadsheet or your website.

CRM lead capture

Every enquiry saved as a lead with its source and answers, so nothing depends on one agent’s phone.

Agent routing

Leads assigned by area, property type or availability, with a notification that includes the conversation so far.

Viewing bookings

Viewing slots offered and confirmed in the chat, connected to your calendar, with reminders for client and agent.

Timed follow-ups

Polite follow-up messages for leads that have gone quiet, using approved templates and respecting opt-outs.

COMMON QUESTIONS

Before we get started.

We don’t have a CRM. Can this still work?

Yes. Many agencies start with a shared Google Sheet as the lead list. We can connect a CRM later without changing the customer conversation.

Where does the property information come from?

From the list you already maintain. We check how your listings are stored and agree how they stay up to date, so the assistant never offers a property that has gone.

Can agents still talk to clients directly?

Yes. The automation handles the opening questions and the admin. An agent can take over a conversation at any point, and the handoff includes what the client has already said.

Can it handle enquiries from Facebook and Instagram ads?

Ads that open a WhatsApp chat can feed the same workflow, and the lead can be tagged with the campaign it came from. We confirm the details against your ad setup during scoping.
